Arrange visits in advance.
A donation, room reservation or volunteer enquiry does not grant access to a school or to children. Agree the purpose, timing, participants and supervision of a visit with the responsible host.
Work within the role you have been given. Follow school instructions about where you can go, which activities you can join and who is responsible for supervision.
Maintain appropriate boundaries.
Keep activities in agreed, supervised settings. Avoid private meetings, private messaging or promises of gifts, travel or support directly to a child. Raise questions through the responsible school or Foundation contact.
Speak respectfully, avoid humiliating language, and do not pressure a child to participate, share a personal story or show gratitude. Respect a child’s wish not to join an activity.
Ask before taking or sharing photographs.
Request permission from the host before photographing or recording an activity. The presence of a camera should never make participation feel compulsory.
Follow the permission arrangements agreed for that visit. Do not post identifying details, personal histories or sensitive information about children. Permission for one use should not be assumed to cover every future use.
Respect professional roles.
Visitors should not offer counselling, clinical assessment or other specialist services outside an agreed professional role. A garden activity or informal conversation should not be represented as clinical treatment.
Discuss any proposed professional work, supervision and applicable requirements before the visit. Use the host’s arrangements for questions about additional support.
Raise a concern.
If something during a visit concerns you, tell the responsible host or contact the Foundation. Describe the event, location and date, and how we can reach you. Keep your first message brief and avoid sending children’s identifying details through a general form.
If your concern involves a particular person, say so and ask for someone else to review the message. The general contact form is not an emergency service and may not be monitored continuously.
